1. Who we are

Everhome is a product and brand of The Green Republic LTD (“Green Republic”, “we”, “us”, “our”), a company registered in England and Wales with its registered office at 483 Green Lanes, London, N13 4BS, United Kingdom.

This policy explains how we collect, use and protect personal data when you visit the Everhome website, contact us, book a demo, or use the Everhome platform. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Where care agencies use the Everhome platform to manage their own clients, carers and staff, the agency is the data controller of that information and we act as a data processor on the agency’s instructions under our agreement with them. This policy covers the processing for which we are the controller; agencies’ own privacy notices cover their processing.

2. Personal data we collect

Depending on how you interact with us, we may collect:

  • Contact and enquiry data: your name, email address, phone number, organisation and role when you book a demo, contact us or sign up for updates.
  • Account data: name, work email, role and login credentials when an account is created for you on the platform.
  • Usage and device data: log data, IP address, browser type, pages visited and actions taken, collected when you use the website or platform.
  • Platform data processed for agencies: information agencies record about carers, clients and visits (for example identity, right-to-work and DBS check status, schedules, visit and wellbeing records, payroll data). We process this as a processor on the agency’s behalf.

3. How we use personal data

  • To provide the service: operating the platform, managing accounts and providing support (performance of a contract).
  • To respond to enquiries and run demos: replying to messages and arranging demonstrations (legitimate interests).
  • To improve the product: understanding how the website and platform are used so we can make them better (legitimate interests).
  • To send relevant updates: where you have asked to hear from us; you can opt out at any time (consent or legitimate interests).
  • To meet legal obligations: including accounting, security and regulatory requirements (legal obligation).

4. Who we share data with

We do not sell personal data. We share it only with service providers who help us run Everhome, such as cloud hosting, payment processing (for example Stripe), accounting integrations (for example Xero), identity-verification providers and analytics, under contracts that protect the data; with our professional advisers; and with authorities or regulators where the law requires it.

5. International transfers

We store data in the UK or the European Economic Area wherever possible. Where a provider processes data outside the UK, we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or standard contractual clauses.

6. How long we keep data

We keep personal data only as long as needed for the purposes above: enquiry data for as long as the conversation is live and a reasonable period afterwards; account and platform data for the duration of the agency’s agreement with us plus any period required by law; and financial records for the periods UK law requires. Platform data controlled by an agency is retained and deleted on their instructions.

7. Security

We protect data with measures including encryption in transit, role-based access controls so each user sees only what is relevant to them, and a permanent, time-stamped audit trail of key actions. Access to production systems is restricted and logged.

8. Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have data erased in certain circumstances;
  • restrict or object to processing in certain circumstances;
  • data portability where processing is based on contract or consent;
  • withdraw consent at any time where processing is based on it.

If your data is on the platform because of a care agency’s use of Everhome, your request may need to be handled by that agency as the controller, and we will help route it correctly.

9. Cookies

The website uses essential cookies needed for it to function and, with your consent where required, analytics cookies that help us understand how the site is used. You can control cookies through your browser settings.

10. Children

Our website and marketing are directed at care professionals, not children. Any information about care recipients within the platform is processed on the instructions of the responsible care agency.

11. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page and, where changes are significant, take reasonable steps to bring them to your attention.
